Executive members can access IT services for societies and sports clubs, such as email, shared file storage and room bookings, using their personal IT accounts. Executive members will automatically be added to an Office 365 group where these services can be accessed if they are administrators of their societies or sports clubs union cloud page.

It is not necessary to use a separate username and password to access IT services on behalf of societies or sports clubs. 

 Request access to IT services on behalf of a society or sports club

You will need to be made an administrator of your union cloud page in order to be automatically added to your societies Office 365 group.

See instructions for how to become an administrator of your union cloud page on the students union webpage.

Once you have been made an administrator of the page by the students union, you will be able to access services through an Office 365 group using the instructions below.

You need to allow 24 hours from confirmation of access being granted by the students union before you will be able to access all the services below.




Accessing services

 Accessing your society or sports club email inbox
  1. Go to lancaster.ac.uk/office365 and, if prompted, log in using WebLogin.

  2. Select Outlook.
     
  3. In the left hand folder pane, select your society under Groups (you may need to scroll down to see this).

When you select the group, you will see the inbox which receives emails sent to society-name@groups.lancaster.ac.uk.




 Sending email from the society or sports club email address
  1. Go to lancaster.ac.uk/office365 and, if prompted, log in using WebLogin.

  2. Select Outlook.
     
  3. Select + New message at the top left of the screen.

  4. In the toolbar, next to the Discard button, select the button.

  5. Select Show from.
     
  6. Select the From button (to the left of your email address).

  7. Select your society email address (if you don't see it in the list, select Other email address and type it in manually).

  8. Continue to send your email as normal.


The email will be sent from the society or sports club email address, and replies will come to the group inbox.




 Accessing society or sports club shared files
  1. Go to lancaster.ac.uk/office365 and, if prompted, log in using WebLogin.

  2. Select Outlook.
     
  3. In the left hand folder pane, select your society under Groups (you may need to scroll down to see this).

  4. In the top section, just above the inbox, select the Go to group files button (next to send email button).

From here, you can browse your shared document library, create new documents, upload documents and Sync your group files so that you can access them in File Explorer (Windows) or Finder (Mac).
